How we look after your company's data

Logistics ERP holds your rates, clients, shipments and invoices. This page explains where that data is stored, who can reach it, how our Windows software is signed, and what we do and do not promise.

Your data

Every company's records are kept apart

Your data lives in Google Cloud Firestore. Every record carries the id of the company it belongs to, and our servers use that id to decide who may see it.

Your own records

Each client company has its own set of documents: company profile, users, settings, numbering, rates and transactions. Every document is marked with the company that owns it. When your users sync, the server sends only the documents marked for your company.

A closed database

No browser, phone or ERP installation of yours connects to the database. All data passes through our own server applications, which check who is signed in before they read anything. The website's public sign-in key opens no data.

Encrypted in transit and at rest

Every connection to the ERP, the Client Portal and this website uses HTTPS. Google Cloud encrypts the stored data on disk. Keys for payments and other services are kept in Google Secret Manager, never in the software we ship.

Backups and recovery

The database can be restored to any minute of the last 7 days, and a full backup is taken every week. Backups stay in the EU, in storage that is closed to the public.

Where it runs

Hosted in the European Union

The database and every server application run on Google Cloud in Belgium and the Netherlands.

Sign-in

Passkeys instead of passwords

A passkey is created on the user's own device and unlocked with Windows Hello: a face, a fingerprint or a PIN. Nothing is typed that could be guessed, reused or phished.

  • New devices need an administrator. The first sign-in on a device needs a one-time setup code from your company's administrator. The code works once and expires after 24 hours.
  • Lost device, one click. Your administrator can remove a user's passkeys. That ends the user's open sessions on the desktop and the website at once.
  • Your administrator controls access. Administrators add users, change roles and deactivate users. A deactivated user is signed out within a minute.
  • Client Portal sign-in is protected. Your clients sign in with a passkey or a password of at least 12 characters. Common passwords are refused, an account locks for 15 minutes after 5 wrong attempts, and sessions end after 2 hours without activity.
  • We watch for abuse. Sign-ins, failed attempts and blocked requests are logged and limited per address. Unusual patterns raise an alert to us.
  • We never see card numbers. Subscriptions are paid through Stripe. Card details go to Stripe and never reach our servers.
Signed software

The Windows ERP is digitally signed

Every program file, installer, update and Excel add-in we ship carries a digital signature from Intella Logistics Systems B.V.

  • Signed through Microsoft. We sign with Microsoft's Artifact Signing service using SHA-256, with a timestamp so the signature stays valid after the certificate renews.
  • Updates check themselves. Before the ERP installs an update, it verifies the signature and the publisher name. A file that is not signed by us is deleted and never run.
  • No administrator rights needed. The ERP installs for the signed-in Windows user only and does not change system settings.

Check a file yourself

  1. Right-click the installer or LogisticsERP_User.exe and choose Properties.
  2. Open the Digital Signatures tab.
  3. The signer should read Intella Logistics Systems B.V. Select it and choose Details: Windows reports "This digital signature is OK".

AI features

AI is optional, and you can see what it uses

E-mail drafting, translation, news summaries and the portal's quick-quote assistant use Claude, a model made by Anthropic. They are part of the AI Credits plan.

  • What is sent. When a user runs an AI feature, the text of that request goes to Anthropic: for example the e-mail being answered and the ERP records needed to answer it.
  • Through our server only. Every AI request passes through our ERP Server API, which counts its use. Your users never hold an AI key.
  • Not used for training. Under Anthropic's commercial terms, data sent through its API is not used to train its models.
  • Off without the plan. A company without the AI Credits plan sends nothing to Anthropic.

Disclaimers

What we do not promise

Logistics ERP supports your work. Decisions made with it stay yours. Please read these points before you rely on the software.

  1. Carrier data comes straight from the carrier

Rates, schedules, transit times and tracking events are fetched directly from each carrier's own systems. It is the same information your staff see when they are signed in to the carrier's website. We bring it into the ERP as the carrier publishes it. The content of that data is the carrier's responsibility, so Intella Logistics Systems B.V. is not liable for errors, omissions or later changes in data supplied by a carrier.

  2. AI-generated content

E-mail drafts, translations, extracted order data and quick quotes produced by AI can contain mistakes. A person in your company must check them before they are sent or used. We are not responsible for content your users send without checking.

  3. Calculations are tools, not advice

Exchange rates, VAT codes, charge calculations and customs-related fields help your staff work faster. They are not tax, customs or legal advice. Your company remains responsible for correct invoices, declarations and filings.

  4. Your users and your devices

Your administrators decide who has access. Keep users up to date, remove people who leave, and keep the Windows devices used for the ERP updated and protected. Activity under a valid sign-in is treated as your company's activity.

  5. Your clients' personal data

For the personal data you enter about your own clients, contacts and their staff, your company is the controller and we process it on your behalf. You are responsible for having a lawful basis to store it and for informing the people concerned.

  6. Compliance with trade rules

Checks against sanctions lists, export controls and dangerous-goods rules are your company's responsibility. The software does not perform them for you unless a feature says so explicitly.

  7. Availability

We work to keep the service running at all times, but we do not guarantee uninterrupted availability. Maintenance, updates and outages at Google Cloud, carriers or other providers can make parts of the service unavailable for a time.

  8. Your portal, your content

The Client Portal is published under your company's name and domain. The rates, terms and texts you publish there are yours, and so is the responsibility for them toward your clients.

  9. This page

This page describes our measures on the date shown above and may change as the service develops. It is information, not a contract. What we commit to is set out in our Terms of service and in your agreement with us.
