Automatic weekly and monthly sends · now in Rate Publisher

Publish your rates every week.
Get asked for quotes every week.

Shippers do not book the forwarder with the best rate. They book the forwarder whose rate they have in front of them when the shipment comes up. Rate Publisher puts your current prices in the inbox of every importer, exporter and partner on your list, on the same day every week, without anyone pressing Send.

"4 × 40'HC Rotterdam → Busan, monthly from November. Can you confirm this rate?"

Hanul Global Trading, an importer on the list since September.

Who to reach

Three kinds of buyer. Three rate sheets. One list each.

Importers, exporters and forwarding partners buy freight for different reasons and read a rate sheet differently. Give each group its own routes, its own language and its own message, and send each one the prices that move them.

ImportersBuy abroad, sell at home

"Import direct. Keep more profit."

Many importers still buy through local traders because the logistics look complicated. A door-to-door price on their lane, in their inbox every week, shows them what importing direct really costs and who to ask.

ExportersMake here, sell overseas

"Become your own exporter."

Exporters who outgrow courier shipments need to see that air, LCL or FCL is often far cheaper for heavier cargo. A report with every carrier, the transit time and the next sailings answers the question before they have to ask it.

"Add our network to your service offering."

Agents and partner forwarders sell your lanes to their own clients. A partner sheet with origin, freight and destination split out lets them add their margin and quote at once, instead of e-mailing you for every inquiry.

Seen in practice. KC International, a forwarder on Logistics ERP, addresses exactly these three groups on its own site: importers, exporters and F/Agent partners, each with its own message and a Client Portal for quotes and bookings. Rate Publisher is the weekly reminder that sends them back there. smart-importexport.com
Why every week

Freight demand comes when it comes. Be in the inbox when it does.

A shipper does not need a forwarder every week, but the week they do, they ask whoever is top of mind. A forwarder who only quotes on request is in front of a client a few times a year. A forwarder who publishes every week is there all 52 weeks.

Quote, only because the client asked Your rates arrive, unasked The week a shipment came up: your rates were already there A shipment came up, nobody asked you: it went elsewhere

Illustration for one client over one year. When you only quote on request, you hear about the shipments you are asked about. With a weekly publication you are in the inbox in every week a need arises, including the ones that would have gone to a competitor.

250 contactsimporters, exporters and partners in 4 groups, as an example
13,000rate reports a year at one send a week
0 hoursof operator time per send once scheduled
1 reply in 200would be 65 quote requests a year you were not asked for today

The last figure is an assumption to show the arithmetic, not a measured rate. Your reply rate depends on your lanes, your prices and your list. Count your own after a quarter of weekly sends.

Marketing and sales effect

What a consistent rate publication does that a quote cannot

Top of mind at the moment of need

Freight is bought irregularly. The forwarder whose prices are in this week's inbox gets the first request, often the only one.

Your price is the anchor

When a client asks three forwarders, the one who already published sets the reference the other two are measured against.

Reliability you can see

The same day, the same layout, a clear Valid until. Week after week that is proof you are organised, before the first shipment.

Dormant clients wake up

The client who shipped once last spring is still on the list. A current price on their old lane is the easiest reason for them to come back.

A cleaner list every week

Bounces show which addresses are dead, unsubscribes show who is not a buyer. What remains is an audience that reads your prices.

Your brand on every report

Your logo, your marketing page, your contacts and terms in every PDF. Clients forward it to their buyers, so your name travels further.

The difference

Doing nothing is a decision too

Doing nothing · quote on request

The sales pipeline depends on who happens to call. Nobody notices the requests that went to someone else.

A steady flow of contacts from one set-up, with your prices doing the selling while your team follows up.

The best rate on the market sells nothing if it is not in the client's inbox the week they ship.

Set up

Lanes, groups, a schedule. That is the whole set-up.

Rate Publisher reads the rate templates you already price with. There is no second price list to maintain: choose what to publish, to whom and when, and the schedule service does the rest.

  1. 1
    ROUTE LIST

    Add the lanes you sell

Pick a rate template per route, Ocean FCL and LCL, air, rail or truck, and the containers or weight levels to price. Every carrier with a rate on the lane is shown, with your margin already on it.

  2. 2
    PUBLISH GROUP

    Make a group per audience

Choose its routes and whether to publish Origin, Freight and Destination, set a Validity Until, add break-downs, a language and your e-mail, marketing and terms templates.

  3. 3
    CLIENTS

    Add the clients and prospects

Pick them from your client list. Each gets one e-mail, with a PDF prepared in their name and an unsubscribe link.

  4. 4
    UPDATE RATES

    Publish the current rates

One click prices every route and renders each client's e-mail and PDF, exactly as a manual send would. That package is what the schedule sends.

  5. 5
    SCHEDULE

    Switch on Automatic send

Every week on a weekday, or every month on a date (1st to 28th, or the last day), at a time of your choice. The next send is shown at once.

Automatic, but never careless

An automatic send must never embarrass you. The schedule service sends only what an operator published, stops when the validity has ended, and respects every unsubscribe at the moment of sending.

  • Never sends expired rates: past Validity Until, nothing goes out
  • Sends the rates an operator published, nothing recalculated behind your back
  • One e-mail per client, nobody sees another's address
  • Unsubscribe link and one-click unsubscribe in every e-mail, checked again at send time
  • Only selling prices: rate contracts, buy prices and margins stay in the ERP
  • Sent through SendGrid on your own verified domain, so it reaches the inbox
Schedule · Agent partners Asia · monthly, 1st 08:00run history
Stale rates are refused, not sent. When a group's validity has ended, the run is recorded as Not sent with the reason, and the group list shows it in red until someone updates the rates.
From rates to leads

One rate template. Every place a buyer can find your price.

The prices in the e-mail are the prices Quick Quote gives your operators and the Client Portal gives your clients. Wherever a buyer meets your rate, the next step is a quote request your team can act on.

A rate sheet now and then is not a rate publication

Most forwarders do send rates, when someone has time: an Excel attached to a mail, two or three lanes, to the clients someone remembers. The difference is not the sheet. It is doing it every week, for everyone, without the hours.
