1. Who we are
Logistics ERP is made and sold by Intella Logistics Systems B.V., a private limited company registered in the Netherlands (Veemkade 456, 1019 HE Amsterdam, The Netherlands, Chamber of Commerce (KvK) 84447567, VAT NL863214575B01). In this policy "we", "us" and "our" mean Intella Logistics Systems B.V..
Logistics ERP is business software for freight forwarders and logistics companies. We sell it to businesses, not to consumers. This policy applies to the website logistics-erp.com, to the sign-in and subscription pages on it, and to the personal data we handle ourselves to provide Logistics ERP. We have not appointed a data protection officer; write to info@logistics-erp.com with any question about privacy.
2. Our two roles
The General Data Protection Regulation (GDPR) gives us one of two roles, depending on whose data it is.
- Controller. For the data in section 3 (website visitors, people who create an account or request one, our customers' billing contacts, administrators and users in their role as our customer's staff, and anyone who writes to us), we decide why and how the data is used, and this policy applies in full.
- Processor. The records our customers keep in Logistics ERP (their own clients, contacts, shipments, quotes, invoices and e-mail), their Client Portal and its users, and the rate e-mails they send, belong to the customer. For that data we act on the customer's instructions under the data processing terms in clause 11 of our Terms of service. The customer's own privacy policy applies to it, and requests about it should go to that customer first. We will pass on any request we receive about it.
3. What we collect and why
We collect only what the task needs. We do not sell personal data, and we do not use it for advertising.
| Data | Why we use it | Legal basis (GDPR art. 6) |
|---|---|---|
| Website visitsIP address, browser, pages requested, time, sign-in events | To deliver the pages, prevent abuse (rate limits) and investigate security incidents | Legitimate interest in a secure service (1f) |
| Website accountE-mail address, name, sign-in method (password or Google), whether the e-mail address is verified | To sign you in, link you to your company's account and show your subscriptions | Contract, or steps before one (1b) |
| Account requestCompany name, address, country, VAT and chamber of commerce numbers, website, business type, number of users; your name, phone number and message | To review the request, ask follow-up questions and set up your company | Steps before a contract (1b) |
| Users of Logistics ERPName, login e-mail, role, active status, passkey public keys, sign-in and licence status, AI usage per feature | To give access, enforce licences, secure accounts and bill AI Credits | Contract with your company (1b); legitimate interest in security (1f) |
| BillingBilling contact, company details, VAT number, subscriptions, invoices, payment status | To charge subscriptions, issue invoices and keep the accounts | Contract (1b); legal obligation under Dutch tax law (1c) |
| CorrespondenceWhat you write to us by e-mail and our replies | To answer you and give support | Contract (1b) or legitimate interest in answering (1f) |
Card details. Payments go through Stripe. Your card or bank details are entered on Stripe's pages and never reach our servers; we see only the card brand, the last four digits and the payment status.
Passkeys. A passkey's private key and your face, fingerprint or PIN never leave your device. We store only the public key that lets us check a sign-in.
No automated decisions. A person at Intella Logistics Systems B.V. reviews every account request. We make no decision about you based solely on automated processing, and we do not build profiles.
AI features. When a user of a customer with the AI Credits plan runs an AI feature, the text of that request is sent to Anthropic to produce the answer, as described on our Security & trust page. That is processing for the customer (section 2). Anthropic does not use it to train its models.
If you do not give us the data an account request or a subscription needs, we cannot set up your company or bill it; nothing else depends on it.
4. Cookies and browser storage
This website uses only what it needs to work. There are no analytics, advertising or tracking cookies, so we do not ask for cookie consent.
| Name | Purpose | Lifetime |
|---|---|---|
__Host-lerp-session | Keeps you signed in on this website | 14 days, or until you sign out |
.AspNetCore.Antiforgery.* | Protects forms against cross-site request forgery | Until you close the browser |
| Firebase AuthenticationBrowser storage | Holds the sign-in while you sign in with a password or Google | Until you sign out |
Our pages load the Geist typeface from Google Fonts, so your browser sends its IP address to Google when it fetches the font. Stripe's checkout and billing pages, which we send you to when you pay, set Stripe's own cookies to prevent fraud; Stripe's privacy policy covers them.
5. Who receives your data
We share personal data only with the service providers we need to run Logistics ERP, and only what each one's task needs:
- Google Cloud and Firebase (Google Ireland Ltd): hosting, database, sign-in, logs and backups, stored in the European Union.
- Stripe (Stripe Payments Europe Ltd, Ireland): payments, invoices and payment e-mails. For fraud prevention and its legal duties as a payment provider, Stripe acts as a controller in its own right.
- Google Fonts: the typeface of this website (section 4).
The providers that handle our customers' ERP and portal data, such as Twilio SendGrid, Anthropic, Microsoft and Google Maps Platform, are listed on our Security & trust page. Each provider is bound by a data processing agreement or acts as a controller under its own terms.
We may also disclose data where Dutch or EU law requires it, for example to the tax authorities, or to establish or defend a legal claim. If Intella Logistics Systems B.V. or its business is sold, the data passes to the buyer under the same protections, and we will tell you before that happens.
6. Transfers outside the EU
We store data in the European Union. Some of our providers are part of groups based in the United States and may access data from there, for example for support. Where that happens, the transfer is covered by the EU–US Data Privacy Framework for providers certified under it, or otherwise by the European Commission's standard contractual clauses, with additional measures where they are needed. You can ask us for a copy of the safeguard that applies.
7. How long we keep it
- Server and security logs, with IP addresses: 30 days, then deleted automatically.
- Website account: as long as the account exists. You can ask us to delete it at any time.
- Account requests: while we handle them. A request that does not lead to an account is deleted within 12 months of our decision.
- Users and other customer account data: for the duration of the contract, and afterwards as clause 13 of the Terms of service describes: at most 12 months.
- Invoices and the records behind them: 7 years, as Dutch tax law requires.
- Correspondence: as long as needed to deal with it and any follow-up.
Deleted data can remain in our encrypted backups until those backups expire in their normal cycle.
8. Security
Data is encrypted in transit and at rest, no device of yours connects to the database directly, and Logistics ERP signs in with passkeys instead of passwords. Our Security & trust page describes the measures in detail. If a personal data breach puts your rights at risk, we will tell the Dutch Data Protection Authority within 72 hours and, where the law requires it, you.
9. Your rights
Under the GDPR you have the right to:
- see the personal data we hold about you and receive a copy of it;
- have incorrect data corrected and incomplete data completed;
- have your data deleted, where we no longer need it or have no legal ground to keep it;
- restrict our use of it while a question about it is settled;
- receive data you gave us in a machine-readable format, or have it sent to another provider;
- object to our use of it on the ground of legitimate interest.
Write to info@logistics-erp.com. We answer within one month, and may ask you to confirm your identity first. Exercising these rights is free.
If you are not satisfied with our answer, you can complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or to the authority of the EU country where you live or work.
10. Visitors outside the EU
We apply this policy to everyone, wherever they are. Data is processed in the European Union under the GDPR. If the law of your country gives you further rights, such as under the UK GDPR, the Swiss Federal Act on Data Protection or the California Consumer Privacy Act, write to us and we will honour them. We do not sell or share personal information for advertising as those laws define it.
Logistics ERP is a service for businesses and is not directed at children.
11. Changes to this policy
We update this policy when our service or the law changes, and show the date at the top. When a change matters to our customers, we tell their administrators by e-mail before it takes effect.
